Our vouchers explained in a nutshell
As a partner of Responsible Travel there are two main types of voucher that you may encounter as you take bookings from our customers. These are loyalty discount vouchers and gift vouchers.
Responsible Travel vacation vouchers can be redeemed against any trip or accommodation on our site unless you choose to opt out. If you wish to miss out on our funded discounts please let you partnership manager know so our customers can see the vouchers not accepted text on your pages.
Read on to find out more about each type of voucher and how to apply them to your bookings.
1. Loyalty discount vouchers (where the code includes "LD")
Responsible Travel rewards customers who come back to use our site again and again through our loyalty discount voucher scheme. This is something we pay for but because we don't exchange any money with our customers, we rely on you to pass this discount on for us and we reimburse you afterwards. This doesn't cost you anything, it's more a small cashflow adjustment. These are our best customer and as long as the customer gives the voucher before the final payment to you they can be accepted.
The customer should notify you that they are entitled to a discount and give you one of the codes below. Only one voucher can be used per booking (not per person). The minimum spend requirement below is based on the declared booking value you enter into our system.
100LDV26 or 100LDV26F or 25LD100 or 25LD100F:
£100 off the total booking if the cost is £750 or more
Please note that loyalty discount vouchers do not have an expiry date. The numbers indicate the value and year the voucher was issued.
How to declare a booking with a voucher:
1. Fill in the lead booking details in the console as usual.
2. In the booking value field, enter the full booking value (ie the price before any discount is applied)
3. Tick the voucher box and enter the voucher code into the box. The system will then automatically calculate the correct commission and flag that we need to reimburse you for the voucher amount.
4. You then simply deduct the voucher value from the customer's final balance when collecting your payment from them. Vouchers can only be used for final payments on vacations, not deposits.
5. Approx. 6-8 weeks before departure date you will be reimbursed the voucher value by us sending you a credit note or payment (depending on the amount of the voucher). You can then offset this credit note against any Responsible Travel invoice due for payment, thus reducing the cash amount you physically send to us, and getting back the previously mentioned cashflow!
FAQ
Why does the system not accept my loyalty voucher?
When this happens, the most common reason is because the voucher you are entering does not match with the year the inquiry was made. If a customer makes an inquiry with you in 2026 the system will only accept a 2026 voucher code. This is regardless of the year you confirm and declare the booking to us.
The system will also reject vouchers that are ineligible or do not meet the minimum spend requirements i.e. trying to take £100 off when the booking value you have declared does not meet the minimum spend of £750. Please always check to ensure the correct voucher is being used and contact your partnership manager if you encounter these problems.
My customer is paying in a different currency?
Regardless of what currency a customer pays in, the loyalty discount amount is always equivalent to £100 because Responsible Travel commission is payable in GBP.
If a customer is paying you in a different currency you should use the daily exchange rate to convert the voucher amount (£100) and apply the discount in the appropriate currency to the booking.
When it comes to declaring the booking on our system you will need to convert and enter the booking value in GBP (i.e. £100) and your account will be reimbursed.
My customer has given me a US loyalty discount code?
We advertise our loyalty discount codes in USD to customers coming through our US site as this is more relevant to them. The discount and minimum spend requirements are the same as the UK vouchers and for ease are converted to:
120LDV26 or 120LDV26F or 25LD120 or 25LD120F:
$120 off the total booking if the cost is $1000 or more
The US vouchers are used very infrequently so if you are given one by a customer you can contact lyn@responsibletravel.com if you have any questions about how to process it.
2. Responsible Travel gift vouchers
Gift vouchers can be purchased through our website and can be for any GBP amount. These vouchers are not as common as our loyalty vouchers, but you may come across them occasionally. These are applied in the same way following the instructions above. The customer with the gift voucher will receive a unique voucher discount code and there is no minimum spend required to use these. These vouchers all have an expiry date. Please note they cannot be used as deposits.
VOUCHER TERMS AND CONDITIONS
All vouchers are subject to terms and conditions. The key T&C's for members to know are summarised here:
· Only one voucher/voucher code can be used per booking.
· Vouchers can only be used with Responsible Travel members towards full and final payment for any vacation or accommodation marked as eligible. They may not be used against a deposit or other part payment.
· Vouchers can only be used to pay for the vacation or accommodation as seen on Responsible Travel and cannot be used towards other expenses such as food, drink, spa treatments etc.
· Vouchers are non-refundable, non-exchangeable and may not be applied retrospectively.
· Loyalty discount vouchers are exclusively for people who've previously booked a vacation via Responsible Travel, or their family & friends.
· In the case of vouchers with a minimum spend the full minimum spend must be reached within the same one single booking in order for the voucher to be redeemed.
